About Book a Space

Book a Space provides a proprietary booking engine software solution, embedded as a plugin on its clients' websites, enabling end-users to book and lease various types of spaces, including meeting rooms, event halls, conference rooms, sports courts, and other spaces owned or managed by Book a Space's clients. Book a Space is a software service provider and is not a party to any booking transaction conducted through the booking engine.


Who are we?

Book a Space Ltd is the developer and operator of the Book a Space booking engine and management platform, including its website all related software and services (collectively, the 'Platform'). The Platform is embedded within the websites of Book a Space's clients and allows end users to book spaces directly through those websites.


Role of the Parties under Privacy Law:

When you book a space through a website on which the Platform is embedded, our client whose website you are using is the Data Controller of your Personal Information, as defined under the Israeli (השליטהבעל) Privacy Protection Law, 5741-1981, as amended (the 'Privacy Law'). That client determines the purposes for which your Personal Information is collected and the manner in which it is used in connection with your booking.

Book a Space Ltd. acts as a Data Processor and Holder (מעבד/מחזיק מידע) respect of booking data, processing Personal Information on behalf of, and under the instructions of, the relevant client. Book a Space does not determine the purposes of processing of booking data and does not use such data for its own purposes, except as set out in this Privacy Policy (see 'What use do we make of your Information?' below).

With respect to data that Book a Space collects independently for its own purposes – such as platform analytics, aggregated statistics, and internal business improvement – Book a Space Ltd. acts as Data Controller.

The specific terms governing Book a Space's processing of Personal Information on behalf of each client are set out in the applicable service agreement between Book a Space and that client.

Definitions

"Personal Information" means any data relating to an identified person or a person who can be identified, directly or indirectly, including by reference to an identifier such as a name, identification number, phone number, email address, or other identifying details, as defined under the Israeli Privacy Protection Law (Amendment No. 13).

"Data Controller" means the entity that determines the purposes and means of the processing of Personal Information. For booking data, this is the relevant client of Book a Space on whose website you are booking.

"Data Processor / Holder" means an entity that processes Personal Information on behalf of, and under the instructions of, a Data Controller. Book a Space acts in this capacity in respect of booking data.

"Processing" means any operation performed on Personal Information, including collection, storage, use, disclosure, transfer or erasure.


Consent

By using the Book a Space website, the booking engine embedded on a client’s website, or allowing someone else to use it on your behalf, you give your consent to our collection, use, disclosure, transfer and storage of any Personal Data and information received by us as a result of such use, in accordance with this Privacy Policy.

Your consent to receive marketing communications from Book a Space is governed separately – see the 'Marketing' and 'Direct Messages' sections below.


Which Information do we collect?

1. Personal Data:

a. Full name

b. Email address

c. Phone number

d. Company name and address (when client is a company)

You are not under a statutory obligation to provide any of the above information. However, provision of items (a)–(c) is required in order for the booking to be processed. If you do not provide this information, the booking cannot be completed. Provision of items (d)–(e) is required only where you are using the Platform on behalf of a company.

Non-Personal Information is collected automatically as part of the normal technical operation of the Platform. Provision of such information is a technical requirement of your use of the Platform.


What use do we do of your Information?

1. Personal Data

Any Personal Data we collect is being used in a way that is consistent with this Privacy Policy, and may be used as follows:

a. Access and Use: Any Personal Data provided to us by you in order to complete any function of the Platform may be used by us in order to provide you with process and manage your booking and/or use, and to monitor your use of the Platform.

b. Company's Business Purposes: Any Personal Data provided to us by you may be used by us in order to help us improve the functionality of the Platform, to better understand our users, to protect against, identify or address wrongdoing, to enforce our Terms of Use, and to generally manage the Platform and our business.

c. A Specific Reason: Any Personal Data provided to us by you for a specific reason may be used by us in connection with that specific reason.

d. Marketing: Any Personal Data provided to us by you may be used by us to contact you in the future for our marketing and advertising purposes, including without limitation to inform you about new services or Platforms we believe might be of interest to you, and to develop promotional or marketing materials and provide those materials to you.

e. Statistics: Any Personal Data provided to us by you may be used by us for statistic reports containing aggregated information.

2. Non-Personal Data

Since Non-Personal Data cannot be used to identify you in person, we may use such data in any way permitted by law.


Which Information do we share with Third Parties?

1. Personal Information

We will not selling your Personal Information to any other third party. However, the following are circumstances in which your Personal Information may be disclosed, or transferred:

a. The Relevant Client - Personal Information collected through a client's website via the booking engine will be shared with that client, who is the Data Controller in respect of the booking. The client's own privacy policy governs their use of that information.

b. Required by Law – If we believe in good faith that disclosure is required by law, including but not limited to, orders by any governmental entity, court or any other judicial entity, in any jurisdiction.

c. To Prevent Wrongdoing – If we believe in good faith that disclosure is required in order to prevent any kind of illegal activity, fraud or civil wrong.

d. Business Purposes: In the event of a corporate sale, merger, reorganization, dissolution or similar event, Personal Information may be part of the transferred assets. Any successor or acquirer will be required to honor the terms of this Privacy Policy.

e. Statistics – Aggregated, anonymized statistical data may be shared with third parties in order to promote the Platform. Such data will not identify you personally.

2. Non-Personal Data

Since Non-Personal Data cannot be used to identify you in person, we may disclose such data in any way permitted by law.


Links to Other Web Sites

The Platform may contain links to other websites and/or third-party services. We are not responsible for the privacy policies of such websites and/or services, and we advise you to review their privacy policies.


Storage and Security

We are strongly committed to the protection of your Personal Data and information. Your Personal Data is stored and managed on the Company's servers hosted on Amazon Web Services (AWS). Please note that AWS servers may be located outside of Israel. Book a Space takes appropriate contractual and technical measures to ensure that any such transfer complies with applicable law and that your Personal Information remains adequately protected.


Security Breach Notification

In the event of a security incident involving your Personal Information that is likely to cause significant harm, Book a Space will notify the relevant client (as Data Controller) promptly, and will cooperate with the client in fulfilling any notification obligations to you and/or to the Israeli Privacy Protection Authority, as required under applicable law.

Other Terms

1. Changes to This Privacy Policy

The Platform and our business may change from time to time. We reserve the right, in our sole discretion, to update or modify this Privacy Policy at any time (collectively, "Modifications"). Modifications will be indicated by the "Last Updated" date at the top of this Privacy Policy. Your continued use of the Platform following the effectiveness of any Modifications to this Privacy Policy constitutes acceptance of those Modifications. If any Modification to this Privacy Policy is not acceptable to you, your sole remedy is to cease accessing, browsing and otherwise using the Platform.  

2. Direct Messages

a. The Company may send you, from time to time, information regarding its services, including advertisements, via short messages or emails.

b. Book a Space will only send you marketing or promotional messages where you have given your explicit, separate and informed prior consent, by actively checking a consent box or by otherwise providing clear affirmative consent.

3. Cookies

a. We may use Cookies for the proper and continuous operation of the Platform or website, including collection of statistics, verifications, modifications etc.

b. Modern browsers allow you to avoid such use of Cookies. If you don't know how to do that, check the help files of your browser.

4. Third Party's Advertisements

a. As part of the services, some third party's advertisements may appear on the Platform or website. Such advertisements provided by an external supplier that adapts content according to the user's habits.

b. Such third-party services may use Cookies. It is hereby clarified that such services are subject to the third party's privacy policy and not to this document.

5. Rights of Data Subjects

Because the relevant client is the Data Controller in respect of booking data, requests relating to your Personal Information collected through a booking should, in the first instance, be directed to the relevant client.

To the extent that Book a Space processes your Personal Information in its capacity as Data Controller (e.g., for platform analytics or aggregated statistics), you have the following rights under the Privacy Protection Law (as amended by Amendment No.13):

a. Right of Access: You may request to review the Personal Information held about you.

b. Right to Correction: You may request correction of inaccurate, incomplete, unclear or outdated Personal Information. Where Personal Information is corrected, we will notify any third party to whom we have transferred that information, within the timeframe prescribed by law.

c. Right to Erasure: You may request deletion of your Personal Information, subject to applicable law and legitimate operational requirements.

d. Right to Object: You may object to the processing of your Personal Information for direct marketing purposes at any time.

e. Right to Data Portability: You may request that your Personal Information be provided to you in a structured, commonly used format.

6. Dispute Resolution

The laws of the State of Israel shall govern this Privacy Policy. Any dispute which may arise in connection with this Privacy Policy shall be brought to the competent court in the Tel-Aviv district, Israel, which shall be granted exclusive jurisdiction.
